This Privacy Policy explains how HotelPreflight handles personal data when you visit hotelpreflight.com, register a hotel, use a HotelPreflight workspace or contact support.

1. Data we process

Depending on how the service is used, we may process account and contact information, hotel/business information, user roles, reservation and guest operational data, room and stay information, support communications, technical/security logs and subscription status.

2. Why we use data

We use data to provide and secure the service, authenticate users, operate hotel workflows, process registrations, provide support, maintain subscription access, prevent misuse, troubleshoot problems and comply with legal obligations.

3. Hotel guest data

Hotel customers control the guest and reservation data they enter into their workspace and are responsible for having a lawful basis to process that information. HotelPreflight processes this operational data to provide the service to the hotel customer.

4. Payments

Payment card and wallet details are handled by the payment provider and are not stored by HotelPreflight. Paddle may process checkout, subscription, tax, invoice and payment information as Merchant of Record or payment provider. We receive only the transaction and subscription information needed to activate and manage access.

5. Service providers and disclosures

We may use hosting, infrastructure, security, email, payment and integration providers to operate HotelPreflight. Data is shared only as reasonably necessary for those services, legal compliance, security, or with the customer's instructions. We do not sell personal data to advertisers.

6. Public location, weather and currency context

On the public HotelPreflight website, we may use an approximate network-based location to show the visitor's city, local time, weather and local currency context. This feature does not automatically request precise GPS location. Location lookup and reference data may be provided by third-party data services. Affiliate referral codes may be stored in browser storage and attached to a hotel registration request for attribution.

7. Cookies and local storage

HotelPreflight uses essential session cookies and browser storage needed for sign-in, language preference, security, affiliate attribution and core application operation. We do not require advertising cookies to provide the service.

8. Retention and security

We retain data for as long as reasonably necessary to provide the service, meet contractual or legal obligations, resolve disputes and protect the platform. We use access controls, tenant separation and other technical measures designed to protect account and hotel data.

9. International processing

Our service providers may process data in countries other than the user's country. Where required, appropriate legal and contractual safeguards are used for international transfers.

10. Your rights

Depending on applicable law, you may have rights to request access, correction, deletion, restriction, objection or portability of personal data. Hotel guests should normally contact the hotel that collected their information first. Account holders may contact HotelPreflight directly.
